SEO Northstar Ltd ("SEO Northstar", "we", "us", "our") provides local SEO services to small businesses across the UK. This policy explains what personal data we collect through seonorthstar.co.uk. It explains why we collect it and how we use it. It also explains your rights over that data under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. Who we are
Data controller: SEO Northstar Ltd, a company registered in England and Wales.
Company registration number: 17398428
Registered office: 71-75 Shelton Street, Covent Garden, London, United Kingdom, WC2H 9JQ
Contact: Ehab@seonorthstar.co.uk
2. What personal data we collect
We collect personal data in these ways:
- When you request a free audit or get in touch: your name, business name, website address, email address, phone number, and any details you include in your message.
- When you book a call: our booking page is run by Cal.com. Cal.com collects your name, email address, and the time you pick. Cal.com handles this data under its own privacy policy.
- When you browse our site: we use Google Analytics to collect standard usage data. This includes pages viewed, time on site, rough location, and device or browser information. It's collected via cookies.
- When we call you: if you're a prospective client and we contact you by phone as part of our own outbound sales activity, that call may be recorded. We always screen the number against the Telephone Preference Service (TPS) and Corporate TPS registers before calling, and we tell you at the start of the call if it's being recorded.
3. How we use your data and our legal basis
- Responding to audit requests and enquiries — needed to take the steps you ask for before we enter into a contract with you (Article 6(1)(b) UK GDPR).
- Delivering our services to clients — needed to carry out our contract with you (Article 6(1)(b)).
- Occasional follow-up about our services — based on our legitimate interest in growing our business (Article 6(1)(f)), weighed against your rights. You can opt out at any time by emailing us.
- Recording outbound sales calls — based on our legitimate interest in keeping accurate records of our own conversations, training, and resolving any disputes (Article 6(1)(f)), weighed against your rights. This only applies to calls we make to you as part of our own sales process, not to calls you make to us. We announce it at the start of the call, and you can ask us to stop recording, or to delete a recording, at any time by emailing us.
- Website analytics — based on consent, where required, via cookies (see Section 4).
4. Cookies and analytics
Our site uses Google Analytics to help us understand how visitors use the site. Google Analytics sets cookies on your device. These cookies collect information about your visit. You can control or delete cookies through your browser settings at any time. You can also opt out of Google Analytics tracking using Google's browser add-on.
5. Who we share your data with
We use a small number of trusted third-party services to run our business and website. We don't sell your data. The services we use include:
- FormSubmit — processes and forwards submissions from our free audit request form.
- Cal.com — handles call bookings made through our site.
- Google Analytics — provides website usage statistics.
- Google Workspace / Gmail — where we receive and store enquiry and client correspondence.
These providers only use your data to deliver the service we've asked for. They do this under their own privacy and data processing terms.
6. International data transfers
Some of the providers above (including Google and Cal.com) may store or process data outside the UK, including in the United States. Where this happens, we rely on the provider's standard contractual clauses, adequacy arrangements, or equivalent safeguards recognised under UK GDPR.
7. How long we keep your data
- Audit requests / enquiries that don't become clients: kept for up to 12 months, then deleted.
- Client data: kept for as long as we work together, and for up to 6 years afterwards, to meet UK accounting and tax record-keeping rules.
- Call recordings: kept for up to 180 days, then deleted, unless we need to keep a specific recording longer to look into a complaint or dispute.
- Analytics data: kept according to Google Analytics' default retention settings.
8. Your rights
Under UK GDPR, you have the right to:
- Ask what personal data we hold about you, and get a copy of it (right of access)
- Ask us to correct data that's inaccurate or incomplete (right to rectification)
- Ask us to delete your data, where there's no good reason for us to keep it (right to erasure)
- Ask us to restrict how we use your data (right to restriction)
- Object to us using your data for direct marketing or legitimate interest purposes (right to object)
- Ask us to transfer your data to another organisation (right to portability, where applicable)
To use any of these rights, email us at Ehab@seonorthstar.co.uk.
9. Keeping your data secure
We take reasonable technical and organisational steps to protect your personal data. This covers unauthorised access, loss, or misuse. We also rely on the security measures of the reputable providers listed in Section 5.
10. Children's privacy
Our services are for business owners and are not aimed at children. We don't knowingly collect personal data from anyone under 16.
11. Changes to this policy
We may update this policy from time to time, for example as our services or the tools we use change. The "last updated" date at the top of this page shows when it was last revised. We'd encourage you to check back occasionally.
